Faith Formation Office Administrator

Location: St. Clare of Assisi Catholic Church

Position Status: Full-Time, beginning June 1, 2024.

Reports To: Director of Faith Formation

Success in this role

The Faith Formation Office Administrator plays a vital role in the efficient operation of the Faith Formation office, supporting the team, and facilitating the administration of sacraments and faith formation programs. This position requires a commitment to the mission of the Catholic Church and the ability to work collaboratively and effectively in a dynamic, faith-based environment. 

Responsibilities:
  1. Administrative Support: Provide administrative support to the faith formation department staff including scheduling appointments, managing correspondence, and maintaining records. Inventories, orders, organizes and stores Faith Formation materials and supplies, ensuring all materials and supplies are accessible to the Director and catechists.
  2. Registration/Event Management: Create, track and manage registrations for all Faith Formation programs. Maintains and updates the data system including but not limited to communication email lists for Faith Formation programming, ensuring that family listings are accurate and other vital Faith Formation information is maintained.
  3. Communication: Serve as a primary point of contact for faith formation related programs, both in person and over the phone, with a welcoming and warm disposition, providing accurate information and assistance as needed and in a timely manner. Communicates accurately and timely with entire faith formation team. 
  4. Event Coordination: Coordinate and support parish events and activities, including Masses, meetings, and special events, ensuring that all logistical details are handled effectively. 
  5. Record Keeping: Maintain accurate and up-to-date parish records, including sacramental records, faith formation program enrollment information, tracks attendance for programs, safe environment records and other important documents. Maintains a standard, accessible, and accurate filing system. Prepares, records sacraments in proper ledgers, and stores sacramental records in safe place. Convert sacramental information from ledgers to parish/FF database as soon as possible. Prepares sacramental certificates as requested by the Pastor.
  6. Collaboration: Collaborate with other parish staff and volunteers to support the overall mission and ministry of the parish, contributing to a positive and cohesive work environment.
  7. General: Other duties as assigned by Faith Formation Director and Pastor. 
Qualifications:
  • Practicing Catholic in good standing with the Church.
  • High school diploma or equivalent; additional education or training in office administration is a plus.
  • Proficiency in Microsoft Office and other relevant software applications.
  • Excellent organizational and time management skills.
  • Strong interpersonal and communication skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Prior experience in office administration or a related field is preferred.
  • Bilingual (English & Spanish) preferred.
Working Conditions:
  • This position is based in a busy parish office and requires the ability to multitask and work effectively under pressure.
  • Occasional evening and weekend work may be required to support parish events and activities.
  • Physical requirements include the ability to lift and carry up to 25 pounds, stand or sit for extended periods, and operate standard office equipment.

Youth Ministry Coordinator

Success in this, and all roles at St. Clare of Assisi will be Holy Spirit lead. The Associate Director of Youth Ministry will be a member of our Family Faith Team as well as the whole staff team of St. Clare of Assisi and therefore must thrive in a collaborative team environment yet be comfortable with leadership and teaching roles. The ultimate goal is to help families develop a lifelong devotion to sacramental life, especially to the graces of Confirmation rather than simply celebrating a first milestone. 

Responsibilities

• Manage and administer the current PATHWAYS Sacramental programs for Confirmation. Organize and support a volunteer team to host sessions for teens and parents, emphasizing a process that upholds the sacredness of this sacrament but is flexible enough to meet parents where they are in their faith journey and move them toward a deeper relationship with Christ.

• Foster a culture that reveres confirmation and encourages discernment and formation while respecting the difficulties parents face raising children today.

• Spark and build relationships with parishioners who are called to serve their community through their love of our teens. 

• Assist in coordinating and support all aspects of a Catholic Youth Program. Create, organize, and execute a program that integrates catechesis and effective accompaniment in ministry for middle and high school youth, to foster their love for God, a firm spiritual foundation in their Catholic faith, and a Christian approach to living their lives.

• Provide social, service-oriented, and catechetical activities throughout the school year, as well as Youth Masses, spiritual retreats, Bible studies, fund raisers, summer mission trips and various fun outing adventures.

• Work with administrative support to ensure proper sacramental record keeping.

• Collaborate with and provide additional support as needed/when appropriate to the larger staff and Faith Formationteam. 

Required Experience and Gifts

• Loves the Catholic Church and lives an active, Catholic life in full communion with the Roman Catholic Church.

• Has a passion for working with teens and families. 

• Proven experience empowering a healthy team (volunteers or staff) to succeed.

• Strong ability to form solid relationships with teens and their parents.

• Ability to actively listen to parents and provide pastoral support in the discernment of sacramental readiness and preparation. 

• Strong understanding and implementation of Virtus policies.

• Ability to be flexible with a growth-focused mindset. 

• Able to accommodate flexibility in scheduling. Hours will vary depending on the season. Weekends and evenings are required as necessary for family schedules

• Bilingual in English and Spanish is preferred, but not a requirement.

Faith & Family Life Coordinator

The ultimate goal is to assist families in fulfilling their Baptismal promise to raise children of God with a strong Catholic identity, value and purposeand help families develop a lifelong devotion to sacramental life, especially to the graces of Reconciliation and Eucharist rather than simply celebrating a first milestone. 

Responsibilities:

• Manage and administer the current PATHWAYS Family Faith Formation program. Organize and support a volunteer team to host bi-weekly gatherings for K-6 children and parents.

• Coordinate and oversee First Communion and First Reconciliation via the PATHWAYS  Sacramental program. Organize and support a volunteer team to host sessions for children and parents, emphasizing a process that upholds the sacredness of these sacraments but is flexible enough to meet parents where they are in their faith journey and move them toward a deeper relationship with Christ.

• Foster a culture that reveres these sacraments and encourages discernment and formation while respecting the difficulties parents face raising children today.

• Spark and build relationships with parishioners who are called to serve their community through their love of the sacraments of Reconciliation & Eucharist

• Oversee a team of volunteers for specific parish wide Family Faith events including Vacation Bible School.

• Contribute to continued creative development of a family formation strategy that instills a true understanding of the domestic Church and the family’s role in the development of a child’s discipleship and identity in the Lord. 

• Foster a culture that respects the difficulties parents face raising children today while challenging them to keep Christ at the center of their family.

• Collaborate with and provide additional support as needed/when appropriate to the Family Faith team and the St. Clare of Assisi team at large.

Required Experience and Gifts

• Lives an active, Catholic life in full communion with the Roman Catholic Church.

• Understands the value and necessity of family-based faith formation. Effectively demonstrates what it means to work with children and parents in a parish/educational setting. 

• Demonstrated project management capabilities.

• Proven experience empowering a healthy team (volunteers or staff) to success.

• Ability to actively listen to parents and provide pastoral support in the discernment of their faith journey. 

• Ability to adapt, learn, try new things, and provide consultation to the pastor’s leadership team.

• Able to accommodate flexibility in scheduling. Hours will vary depending on the season. Weekends and evenings are required as necessary for family schedules.
